This Policy applies when you visit the FILTAR website, read the API documentation, request or use trial access, contact FILTAR, or interact with FILTAR in a professional capacity.

Where FILTAR processes content or personal data on behalf of a customer through a paid service, the customer may be the controller and FILTAR may act as processor under a separate data processing agreement.

Information you provide and technical data

Information you provide

• name, professional email address, company, role and contact details;
• information submitted through contact or trial forms;
• communications, support requests and feedback;
• account, access and authentication information;
• business, procurement and subscription information where relevant.

Information generated through use

• IP address, browser, device, timestamps and referral information;
• website interactions and analytics events, where you consent to optional analytics;
• API usage, logs, security events and diagnostic information needed to operate and protect the service;
• AWS Marketplace entitlement, subscription or transaction information made available to FILTAR where applicable.

Please avoid including unnecessary personal or sensitive information in free-text fields or trial prompts.

Why we use personal data

Depending on the context, FILTAR processes personal data to:

• respond to enquiries and take steps requested before entering into a contract;
• create accounts, provide trial or paid services, and administer customer relationships;
• authenticate users, prevent abuse, investigate incidents and protect systems and users;
• operate, troubleshoot and improve the website, documentation and services;
• send requested service communications and, with consent where required, marketing communications;
• manage AWS Marketplace transactions and partner activities;
• comply with legal, accounting and regulatory obligations.

These activities rely, as applicable, on performance of a contract or pre-contractual steps, FILTAR's legitimate interests in operating and securing its business, your consent, or compliance with legal obligations.

Limited sharing for defined purposes

FILTAR may share personal data with service providers that support hosting, cloud infrastructure, security, analytics, customer relationship management, communications and professional services. Current services include AWS for cloud and Marketplace activities and HubSpot for customer relationship management, forms and optional website analytics.

Information may also be shared with professional advisers, competent authorities or other parties where required by law, necessary to establish or defend legal claims, or connected with a corporate transaction subject to appropriate safeguards.

FILTAR does not sell personal data.

Protection follows the data

Some providers or their group companies may process personal data outside the European Economic Area. Where required, FILTAR uses appropriate contractual, organisational or legal safeguards for those transfers and assesses the protections available in the destination country.

You may contact FILTAR for more information about the safeguards relevant to your data.

Kept only as long as needed

FILTAR retains personal data only for as long as necessary for the purpose for which it was collected, including to provide services, maintain security records, manage business relationships, resolve disputes and meet legal, accounting or contractual requirements.

Retention periods vary according to the type of data, the status of the relationship, security needs and applicable legal obligations. Data is deleted or anonymised when it is no longer required.

Your choice for optional analytics

The website uses local storage to remember your cookie preference. Optional HubSpot analytics are loaded only after you select "Accept" in the cookie banner. If you reject them, non-essential HubSpot tracking is not loaded.

Where a HubSpot contact or trial form is embedded, HubSpot processes the information you choose to submit so that FILTAR can respond to your request. This form functionality is separate from optional analytics.

You can clear site data in your browser to reset your choice. Browser settings may also allow you to block or delete cookies and local storage, although this may affect some functionality.

Access, correct and control your data

Subject to applicable law, you may have the right to request access to your personal data, correct inaccurate data, request deletion or restriction, receive certain data in a portable format, and object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it at any time without affecting earlier lawful processing.

To exercise a right, email contact@filtar.ai. FILTAR may need to verify your identity before responding. You may also lodge a complaint with the data protection authority in your country, including the CNIL in France.

Practical safeguards

FILTAR uses technical and organisational measures designed to protect personal data against unauthorised access, alteration, disclosure or loss. No online service can guarantee absolute security, so users must also protect their credentials and report suspected incidents promptly.

The website and services are intended for professional users and are not directed to children. FILTAR does not knowingly seek personal data from children.

Keeping this notice current

FILTAR may update this Policy to reflect changes in its services, providers or legal obligations. The current version will be published here with an updated effective date. Where appropriate, FILTAR will provide additional notice of material changes.
